StudMaster Beef Electronic Breedplan Communication

Purpose

The purpose of this document is to explain electronic communication between the StudMaster herd management software and the Breedplan registration system.

 

StudMaster version

This document applies to version 4.3a and later versions of StudMaster.

 

Societies

Breedplan is currently implemented by the following Breeders Societies:

·         Brahman Breeders Society of South Africa.

·         Simbra Breeders Society of South Africa.

·         Simmental Breeders Society of South Africa.

 

Communication

The following communication items are discussed in detail:

·         Submit Mating details to Breedplan.

·         Submit Birth details to Breedplan.

·         Submit Weight details to Breedplan.

·         Receive EBV data from Breedplan.

Submit mating details

Submit birth details

Two methods of submitting birth details exist:

·         Via email.

·         Via stiffy diskette.

Births email submission

This method allows you to submit birth notifications via email to the Breeders Society.

Newborn calves should have already been entered into StudMaster before you can submit their births to the Society.

1.      Go to Function AG – Birth notifications in StudMaster.

2.      Choose the group of animals to be included in the birth notification.

3.      A list of animals to be included in the birth notification will be displayed.

4.      Press Alt F(ile) to initiate preparation of the electronic birth notification.

5.      Choose Function B – Post electronically.

6.      If you used this function before, a message would display asking whether you would like to delete the previous batch of birth notifications. Answer [Y]es.

7.      The electronic births file would now be prepared.

8.      A message on the screen would display if the electronic births were created successfully.

Make a note of the location and file name created. You will need this information in order to email the file to the Society.

The file name is made up as follows:

o        First letter is always [B]irths

o        Followed by three figures indicating the breed for example 214 for Brahman and 210 for Simmental.

o        Followed by your herd’s Herd Designation Letters (HDL).

o        Followed by a .DAT file extension.

o        Example files are B214T.DAT and B210AVR.DAT.

9.      Exit from StudMaster.

10.  Activate your normal email program.

11.  Write a new message to your Breed Society telling them that births notifications are attached to the email.

12.  Choose the function to attach a file to the email message. The method to attach a file may differ in the various available email programs. In Microsoft Outlook Express a file is attached using Function Insert->File Attachment and in Microsoft Outlook it is Function Insert->File.

Now point your file selection screen to the file location mentioned in Step 8 and double click on the prepared file. The file should now be attached to the email message.

13.  Send the email message normally.

Births stiffy diskette submission

This method allows you to submit birth notifications via stiffy diskette to the Breeders Society. This method is used if you do not have access to Internet.

Newborn calves should have already been entered into StudMaster before you can submit their births to the Society.

1.      Go to Function AG – Birth notifications in StudMaster.

2.      Choose the group of animals to be included in the birth notification.

3.      A list of animals to be included in the birth notification will be displayed.

4.      Press Alt F(ile) to initiate preparation of the electronic birth notification.

5.      Choose Function A – Post diskette.

6.      Type the stiffy drive disk letter and press Enter. Usually A:.

7.      Insert a clean newly formatted stiffy disk into the chosen disk drive and press Enter.

8.      An electronic birth notification file would now be created on the stiffy diskette.

The file name is made up as follows:

o        First letter is always [B]irths

o        Followed by three figures indicating the breed for example 214 for Brahman and 210 for Simmental.

o        Followed by your herd’s Herd Designation Letters (HDL).

o        Followed by a .DAT file extension.

o        Example files are B214T.DAT and B210AVR.DAT.

9.      Package the stiffy disk properly and post with a covering letter to your Breeders Society.

Submit weight details

Two methods of submitting weight details exist:

·         Via email.

·         Via stiffy diskette.

Weights Email submission

This method allows you to submit weights via email to the Breeders Society.

Animal weights should have already been entered into StudMaster before you can submit it to the Society.

1.      Go to Function BE – Official report in StudMaster.

2.      Choose the group of animals to be included.

3.      Choose the weight age of the animals to be included.

4.      Answer the standard questions regarding the group of animals. Press F1 if you need help.

5.      A list of animals to be included will be displayed.

6.      Press Alt F(ile) to initiate preparation of the electronic weights file.

7.      Choose Function B – Post electronically.

8.      If you used this function before, a message would display asking whether you would like to delete the previous batch of weights.

If you want to include more than one group of weights, answer [N]o. Repeat steps 1 to 8 for subsequent groups.

If you want to delete the previously prepared weights file, answer [Y]es.

9.      The electronic weights file would now be prepared.

10.  A message on the screen would display if the electronic weights were created successfully.

Make a note of the location and file name created. You will need this information in order to email the file to the Society.

The file name is made up as follows:

o        First letter is always [P]erformance

o        Followed by three figures indicating the breed for example 214 for Brahman and 210 for Simmental.

o        Followed by your herd’s Herd Designation Letters (HDL).

o        Followed by a .DAT file extension.

o        Example files are P214T.DAT and P210AVR.DAT.

11.  Exit from StudMaster.

Receive EBV data

Three methods of receiving EBV data exist:

·         Via Internet download

·         Via Internet email.

·         Via stiffy diskette.

Ebv Internet download

This method is where you log into the Breedplan website and download your herd’s EBV data.

1.              Activate your web browser and point to http://breedplan.une.edu.au

2.               Follow the link Downloading Breedplan Files.

3.               Follow the link Breedplan file download form.

4.              Type you User Name and Password. The user name is usually your member number and your password is obtainable from your Breeders Society.

5.              Choose your Society from the drop down list and click Logon and Download Files.

6.              The following screen would be displayed.

7.              Mark the GROUPEBV.DAT file and click Send the file.

8.              Choose Save this file to disk and click OK.

9.              A Save As screen would be displayed. Change the Save in question to the C: (Local Disk) drive and then double click the SM3 directory. Click the Save or Open button to begin downloading the file to your computer.

In effect a file with the name GROUPEBV.DAT (containing your herd’s ebv data) would then be copied from internet into your computer’s SM3 directory (StudMaster program directory) on the C: hard disk.

The location and file name can be changed to suit your own needs, but you must then remember the location where you saved the file and the name you gave it.

Once completed, the EBV data can now be imported into StudMaster.

10.          Activate StudMaster.

11.          Do Function FAA – Herd breeding values in StudMaster.

12.          Type C:\SM3\GROUPEBV.DAT at the Import EBV Breeding Values question in StudMaster and press Enter. This is if you followed the step 9 above exactly.

If you gave the file another name and saved it in another location, please type the location and file name.

StudMaster would display a message if the file cannot be found.

13.          The EBV data would now be imported into StudMaster and linked to individual animals.

The data can be viewed using Function AAA – All information in StudMaster. Page Down to the last two screens with animal information.

14.          A message would display if all the animals in the EBV file could not be linked to animals in StudMaster. Press [Y]es if you want to print a list of animals not linked.

The linking between EBV data and the animal in StudMaster is done on the Registration number.

The only reason then why an animal cannot be linked is when the animal is either not on StudMaster or on StudMaster but without a registration number.

You can correct the problem using Function AAA in StudMaster and then repeat steps 11 to 14
